Your AI Agent Works. You Stay in Control.
Your AI assistant proactively drafts emails, proposes tags, suggests deal stage moves, and composes portal messages — all reviewed in one inbox before they reach a customer. Approve, edit, or reject with feedback that makes the AI smarter. Choose full autopilot, approve-first, or manual control. Total governance, zero friction.
Your AI Agent Is Proactive — But You're the Boss
Most AI tools wait for you to ask. Yours doesn't. Your AI assistant reads incoming emails, analyzes leads, monitors deals, and drafts responses — all on its own. It proposes tags for contacts, suggests deal stage moves, and composes portal messages for clients.
But here's the difference: nothing reaches a customer until you say so. Every AI-drafted email, every proposed tag, every stage move lands in your AI Inbox for review. You approve, edit, or reject — with total control.
One Inbox for Every AI Action
The AI Inbox is your command center for AI governance. A clean, two-pane layout shows every pending AI action on the left and full details on the right. Filter by status — Pending, Sent, Edited, Rejected — and see exactly what your AI has been doing.
Each item shows the action type (email, portal message, tag, stage move), the contact involved, the AI's confidence score, and the full drafted content. Expand the AI reasoning section to see exactly why the AI drafted what it did — the response text and tool calls that led to the action.
- Two-pane review layout — list on the left, full detail on the right
- Status filters — Pending, Sent, Edited, Rejected, All
- Action type icons — instantly see whether it's an email, tag, stage move, or portal message
- Confidence score display — know how sure the AI was before you review
- AI reasoning — expandable section showing the AI's full response and tool calls
- Contact context — name, email, company, and existing tags at a glance
Three Ways to Govern Your AI
You choose how much autonomy your AI agent has. Switch modes anytime from the AI Settings page — no developer needed.
- Approve First (default) — AI drafts everything, but nothing sends until a human reviews and approves. Maximum safety.
- Auto — AI sends immediately when confidence exceeds your threshold (e.g., 80%). Low-confidence drafts queue for review. Best for teams that trust their AI but want a safety net.
- Off — AI cannot send anything automatically. Every draft queues for a human to review and send manually. Full manual control.
Scope Settings — Always Require Approval for Sensitive Actions
Even in Auto mode, some actions are too important to automate. HITL Scope settings let you force human approval for specific action types — regardless of confidence score or mode.
Want the AI to send emails automatically but always require approval before moving a deal stage? Just toggle the stage move scope. Want auto-tagging but human review for deal creation? One checkbox.
- Tag changes — AI-proposed tags always require approval before applying
- Stage moves — AI-proposed deal stage changes always require approval
- Deal creation — AI-created deals always require approval before entering the pipeline
Approve, Edit, or Reject — With Feedback That Improves the AI
For every pending draft, you have three options — and each one makes the system better.
Approve & Send sends the draft as-is. Edit & Send lets you tweak the subject, body, or recipient before it goes out. Reject sends it back to the drawing board — with a required rejection reason that feeds back into the AI for continuous improvement.
- Approve & Send — one click and the email or portal message is delivered
- Edit & Send — modify subject, body, or recipient before sending — your edits are tracked
- Reject with reason — rejection reason is required and stored for AI improvement
- Rejection feedback loop — every rejection reason is logged and can be used to improve AI response quality over time
Every Action Type, Governed
The HITL system governs every outbound action the AI assistant takes — across CRM, email, and project management.
- Send Email — AI-drafted emails to CRM contacts with subject, HTML body, text body, template, and deal association
- Send Portal Message — AI-drafted messages to clients via the project portal messaging system
- Apply Tag — AI-proposed tags to apply to contacts, with existing tags shown for context
- Move Stage — AI-proposed deal stage movements, with current and proposed stage shown side by side
Confidence Thresholds — Let the AI Handle the Easy Stuff
In Auto mode, you set a confidence threshold — say, 80%. When the AI drafts an email and its confidence is above 80%, it sends automatically. Below 80%? It queues for your review.
This means the AI handles the routine responses — "Thanks for your inquiry, here's our pricing" — while you review the complex ones. Over time, as you approve more drafts and the AI learns from your rejections, you can raise the threshold and give the AI more autonomy.
Real-Time Notifications — Never Miss a Pending Action
When the AI drafts a new action, every admin on your team gets notified — via email and in-app notification bell. When an action is approved or rejected, everyone knows.
Notifications include the contact name, action type, subject line, and rejection reason (when applicable). One click takes you straight to the AI Inbox to review.
- New draft queued — all admins notified instantly
- Draft approved — all admins notified with send confirmation
- Draft rejected — all admins notified with rejection reason
- One-click access — notifications link directly to the AI Inbox
Use Case: The Hands-Off Lead Response
Here's how it works in practice: A new lead emails your AI agent at 11 PM. The AI reads the email, checks the contact's history, drafts a personalized response with pricing and next steps, and queues it in the AI Inbox.
You come in at 8 AM, open the AI Inbox, see the draft with a 92% confidence score. You read it, it looks great — one click to approve and send. Total time spent: 15 seconds. The lead got a response in seconds of your arrival, not hours.
Or switch to Auto mode with an 85% threshold and that same lead gets an instant response at 11 PM — without you ever seeing it. Your call.
The AI Inbox connects directly to your CRM and project management system — so every governed action is tracked, logged, and tied to the right contact, deal, or project card. See the CRM & Sales Pipeline
Use Case: Governed Project Communication
A client sends a message through the project portal asking for a status update. The AI assistant reads the message, checks the project board, and drafts a response with the current stage, checklist progress, and expected completion date.
In Approve First mode, the draft lands in your AI Inbox. You review it, maybe tweak the tone, and approve. The message goes straight to the client through the portal. The client gets a fast, accurate response — and you stayed in control of what was said.
Portal messages are governed by the same HITL system as emails — one inbox, one review process, total control. See Project Management
FAQ Bot Always Responds Instantly
The HITL system only governs the assistant agent — your FAQ bot is never gated. Website visitors always get instant answers from the FAQ bot, transformation reports send immediately, and front-end conversational responses are never delayed.
This means your website visitors get the instant experience they expect, while your outbound business communications — emails to contacts, portal messages to clients, CRM actions — get the human oversight they need.
